Privacy notice

Good-faith notice of our current practice [final counsel review pending]. It accurately describes what we collect and how we use it today; the counsel-reviewed version will supersede it.

Who we are. This site is operated by Polaris Governance Partners, Inc. (“Polaris”, “we”). For any privacy question, email privacy@polarisgovernance.com.

What we collect. If you submit the demo request or the free AI-readiness assessment, we collect what you enter — typically your name, work email, organisation, tenant size, base licensing, Copilot/agent status, and (for the assessment) your answers and resulting score. We also record basic technical context with the submission: your IP address, and campaign/referrer information (UTM tags, referring page, landing page). The assessment computes your score in your browser; the fields above are sent to us only when you choose to submit the form. We do not collect payment information on this site, and we do not knowingly collect information from anyone under 18.

Why we use it (and our basis). We use your submission to respond to your request, to follow up about a demo or assessment, and to improve our content. Our lawful basis is your consent in submitting the form and our legitimate interest in responding to a business enquiry. We do not sell your information, and we do not use it for advertising.

Where it goes. Submissions are stored in our Microsoft Azure environment and emailed to our team; the assessment/demo flow also sends you a confirmation email. We keep enquiry data only as long as needed to follow up and for a reasonable record thereafter, and we delete it on request.

Service providers (sub-processors). We rely on a small set of vendors to run this site and handle enquiries, under their own security and privacy commitments:

  • Microsoft Azure — website hosting (Static Web Apps), enquiry storage (Table Storage), and email delivery (Azure Communication Services).
  • Anthropic — AI systems we use to operate the business may process enquiry data to help us respond.
  • GitHub (Microsoft) — source hosting for the site.

Analytics. We intend to use privacy-respecting web analytics (Google Analytics 4). It is not yet enabled; when it is, this notice will describe what is measured and how to opt out.

International. We are US-based and process data in the United States. If you contact us from the UK, EU, Australia, or elsewhere, you consent to that transfer; you keep the rights described below and can contact us to exercise them.

Your choices & rights. You can ask us what we hold about you, correct it, delete it, or ask us to stop contacting you — email privacy@polarisgovernance.com and we will act on it. Every email we send you can be replied to with “stop” and we will remove you.

The product is separate. This notice covers the website only. The Polaris product is deployed inside a customer’s own Microsoft 365 tenant and Azure subscription; that tenant data is governed by the customer agreement, stays in the customer’s tenant, and is not collected by this website.
